  • Non-Conformance Identification and Prioritization
    • Improve reporting and monitoring activities for compliance performance by using a consistent approach for identifying and prioritizing non-conformances.
  • SOAR Homeless Disability Claims
    • Improve the process of medical packet submission and removing duplicate efforts by implementing direct submission of the packet to DDS.
  • Vendor Add/Change Process
    • Old Paradigm: Judging people in the system rather than looking at the system itself and how much it contributes to the success or frustration of any given process.
    • New Paradigm: is “what can we do to make the system better” rather than focusing on the performance of people within that system
  • Reduce – Regain
    • VOC: Train on an as needed basis; Reduce non-value added training for SOPs.
  • Ensure quality of 15 programs and 6 implementation contractors—annual investment=$115M
    • Develop a process to monitor the implementation contractors field inspection compliance, including tracking and validating that they are meeting the requirements outlined in the contract and/or program manual.
    • After we changed the card chopping process we noticed a significant drop in bad “cards”.  Each card was a precise length and squared.  The presses looked more professional, cleaner, and the rework was severely reduced.
  • Create higher quality engineered flooring to our current and future customers.
    • The amount of rework decreased significantly and the chances of delamination have become less probable.
    • The workers are more comfortable coming forward with ideas and top management is starting to see proof that it works.  This is the first big step in the right direction.
  • Medical Review Team (MRT) Deferral Reduction
    • Look for ways to reduce the overall deferral rate of the MRT cases
    • Initially, we looked at repeat deferrals
    • After collecting and analyzing data in our first PDSA cycle, the aim changed to reducing deferrals for additional medical information
    •  About 80% of the deferrals are related to insufficient medical documentation, a significant percentage for mental exams in particular.
  • Michigan Rehabilitation Services (MRS) Appeals Process
    • Shorten timeframe of internal process to meet 60-day timeline to schedule hearings with Michigan Administrative Hearing System (MAHS).
  • Improve the operation group’s review of Batch Production Records (BPRs), which is measured by the Right First Time metric.
    • Prediction #1 – Most errors would be associated with critical documentation
    • Analysis indicated that most errors were not critical documentation, but rather supplementary documentation
    • Prediction #2 – Errors would be easy to identify when incorrect
    • Analysis indicated that errors were not easy to identify by area reviewer
    • Footnotes are handwritten, are unique to each situation, and may require additional information to be added later
  • Succession Planning
    • We have a significant number of eligible employees at the management level who are intending to retire within 5 years.
    • There is a need to develop a succession plan for our agency.
    • Survey potential candidates
      • Total # in agency = 164
      • 108 completed the survey.
      • 72 responded they were interested in promotional opportunities.
      • 50% of those have NOT expressed interest to their manager!!  
      • 26 willing to relocate and 46 are not
